Registration Guidelines
To book a place at the UKAIS conference/consortium, you must first register as a UKAIS member by following this link. If you are already a UKAIS member, then please ensure you are logged in to your account. The booking page will not be accessible unless you have registered and logged in. Once you have registered and logged in, you can book your place by clicking the link at the bottom of the conference/consortium registration webpage here.
From here, you have two options to book a place at the conference/consortium. Option one, you can book a place and pay for it yourself using your own personal bank card or PayPal account. Option two, you can book a pending place at the conference and then have your employer/institution receive an email with an invoice and payment link to pay on your behalf. The invoice must be paid by your employer/institution within seven days, or your reservation will be cancelled, and you will need to rebook. It is therefore important that your employer is aware that you are making this booking. Please note, accommodation must be booked separately. It is not included in the booking. Option one: paying for the consortium/conference yourself
Once you have carefully read the information on the event booking webpage, please select the event you would like to register for e.g., conference, consortium. Please note, you can select the early bird rates up until midnight on 14February 20205.

Once you have selected your booking option, a form will appear asking for your personal details. Should you have any dietary requirements, please enter them in the field provided. Please also indicate if you are presenting a paper and, if you are, the paper number(s). Your paper number can be found on Easychair or in the email notification you received from Easychair.

You can then review your booking and pay. If you are paying for the conference yourself, please ensure you have chosen to “pay yourself” from the dropdown menu. You can then click the “Submit booking” button which will direct you to the Stripe payment platform.
Option two: booking a consortium/conference place for your employer/university to pay
If your employer is paying for your conference/consortium attendance, follow the same steps as above for option one. However, from the drop-down menu select “Have your employer/university pay for you.”

Upon selecting this option, a new form will appear requiring your employer/university’s details. You will need to include the name of the person who will receive the payment request and their email address. Typically, someone in your finance team. You will need to include the name of your university. You can also include an optional reference number.

Once you have entered these details, you can click “submit booking.”

Your booking is now “pending” and your employer will be sent an email including your booking details, an invoice, and a link to pay for your place at the consortium/conference via the Stripe platform. Please note, that the invoice must be paid within seven days, or your reservation will be cancelled, and you will need to rebook. It is therefore important that your employer is aware that you are making this booking.

Manging your booking: options one and two
You can view your booking by selecting “Manage my bookings” nested under “Events” in the UKAIS website navigation bar.

From here, you can cancel your booking. Should you cancel your booking, depending on who paid, you or your employer will be automatically refunded, and your reservation will be cancelled.
